Requirements
Bachelor’s degree/ BTech (NQF Level 7)/National Diploma (NQF Level 6) in Public Management/ Public Administration/Office Management and Technology/Business Administration/Business Management. 1-2 years’ experience within Administration environment OR Grade 12 with more than 10 years’ experience in Administration. COMPETENCIES:Extensive experience in office management. Ability to self-manage, work independently and under pressure. The incumbent should possess the excellent verbal and written communication skills which are required for communication within and outside the Chief Directorate. Supervisory skills. Computer Literate in MS Office (Word, Excel, PowerPoint, and Access).Good report writing skills. Be a Strong team player and show ability to manage projects and organize work efficiently. Knowledge of supply-chain and budget management processes. Knowledge and understanding of the PFMA. Ability to work with technical professional staff. Admin support experience within the veterinary or medical field will be an added advantage
Duties
Registration and filing of documents. Tracking of documents on route through the directorate/sub-programme and to senior management. Preparation of documents for meetings and for distribution. Handle procurement process: take orders from officers, order from suppliers and distribute, (e.g. stationery, catering, etc.). Assisting with financial management e.g. typing up budgets, recording expenditure. Making and recording payments in payments register. Managing petty cash. Process leave forms and keep copies for the directorate/sub-programme. Keep register of attendance. Arrange that all new staff members attend HRDs induction programme. Arrange training for the directorate/sub-programme at the request of management. Send out invitations and agendas, receive and record confirmations and apologies. Make all logistical arrangements e.g. finding and booking a venue, arranging catering, providing audio visual display equipment, stationery, documentation, ad registration of participants. Manage the minuting process – take minutes, ensure minutes are distributed in good time, ensure minutes are filed, producing post workshop/ conference documentation. Arrange MEC and other official visits, ensuring officials are available. Type and deliver memos on behalf of management. Answer queries e.g. from the public, legislature, MEC, etc. Distribute information, e.g. by means of a circulation folder. Get information / books for officials: this may include carrying out internet searches, library searches, phoning around bookshops etc. Compile stakeholder lists and keep them up to date. Assist with inputting data into data bases / GIS /etc). Capturing data. Provide comment on documents, policies, organisational procedures etc. as required. Write and submit all reports on time as required. This may include monthly or quarterly reports. Contribute to planning, budget building and evaluation processes. Follow the policies and procedures e.g. with regard to document management.
